This privacy policy sets out your rights and my obligations to you regarding the collection, recording, and storage of your personal information and data. Any personal data provided by you to me through any means (verbal, written, in electronic format, or by use of my website) will be held and processed in accordance with the data protection principles set out in the Data Protection Act 2018 and the UK General Data Protection Regulation (UK GDPR), for the legitimate interests of my clinical practice and for the services you have requested.
I will set out what information I need to collect from you before and during your counselling sessions with me. I will also explain how I will store your personal information, how long I will retain it, and who I may share it with. Finally, I will set out your rights regarding your personal information and how to exercise them.

Who I Am
I am Papiya Rozario, a qualified psychodynamic counselor and ADHD-CCSP coach working in private practice under the name London Counselling Services. I am a Registered Member of the British Association for Counselling and Psychotherapy (BACP Member No. 417725) and a Practitioner Member of BAATN—The Black, African, and Asian Therapy Network. I am also a member of Pink Therapy.
I am registered as a data controller with the Information Commissioner's Office (ICO).

What Is Personal Information, and What Will You Collect About Me?
Personal information includes any information used to identify a living individual (Data Protection Act 2018). This includes your name, address, telephone number, or email address.
I collect several types of information in several ways:
When you visit www.londoncounsellingservices.com, I may collect the following information automatically: IP address, location, search engine used, date and time of visit, web pages visited, operating system, and device type.
If you complete the contact or inquiry form on my website, I will collect the following: your name, email address, telephone number, date and time of submission, and any information you supply in the message field.
Before your initial session, I will ask you to provide your name, telephone number, address, availability, and a brief description of what you would like to address.
Once therapy commences, I may collect further information that could include GP contact details, date of birth, previous therapy, current and past medication, financial and employment circumstances, physical health, alcohol and substance use, family structure, early memories, relationship status, and your current circumstances. The information collected will be guided by what is relevant and necessary for our work together.
If we work online or by telephone, I may also record the platform used (for example, video call software) and any settings relevant to secure communication, though sessions themselves are not recorded without your explicit written consent.

 

Why Do You Need to Process My Personal Information?
I process your personal information in order to fulfill my contractual and professional obligations to you as a therapist. This includes assessing whether I am best placed to offer you the support you need and making appropriate clinical decisions throughout our work together.
The lawful basis for processing your personal data is the performance of our therapeutic contract and, for any sensitive personal data (known as "special category data"), explicit consent and the provision of health care services.
I am also required by my professional body, the BACP, to maintain appropriate records as part of safe and ethical practice.

Clinical Supervision
As an ethical requirement of my membership with the BACP, I receive regular clinical supervision to maintain the quality and safety of the therapy I provide. I may discuss aspects of our work in supervision. This is done using anonymized or pseudonymized information—your full name and identifying details are not disclosed to my supervisor. My supervisor is also bound by professional confidentiality obligations.

 

How Will My Personal Information Be Stored?
Personal information is stored both electronically and physically:
Electronic storage: Any data stored electronically is held on password- and fingerprint-protected devices, within files that are additionally password-protected and accessible only by me. Names and contact details are stored separately from clinical notes and anonymized where possible.
Physical records: Any paper-based records are held securely in locked storage in an anonymized format and are accessible only by me.
Online communication (such as emails and inquiry form responses) is handled through secure platforms. I will not discuss confidential clinical material via unencrypted email.

 

How Long Is My Information Stored?
In line with BACP guidance and UK GDPR requirements, I will retain your personal information for 7 years following the end of our sessions. For clients who were minors at any point during therapy, records are retained until the client's 25th birthday or for 7 years after the end of therapy—whichever is later.
I may need to retain information for longer than this in certain circumstances, for example, to comply with my professional indemnity insurance terms and conditions or to respond to a legal claim. I will inform you if this applies.
At the end of the retention period, personal information is securely destroyed.

 

Who Else Might You Share My Information With?
Your personal information is treated as strictly confidential. There are, however, limited exceptions where I may be required or permitted to share information:
Clinical supervisor: as described above, in anonymized form.
In situations of serious risk: if I have reasonable grounds to believe there is a serious risk of harm to you or to another person, I may be required to share relevant information with appropriate agencies (such as emergency services or your GP). I will always endeavor to discuss this with you first unless doing so would increase the risk.
Legal requirements: where I am required by law or by court order to disclose information.
With your explicit consent: for example, if you ask me to liaise with your GP or another professional.
I do not sell or share your personal information with third parties for marketing or commercial purposes.

 

Can I Request a Copy of the Personal Information You Hold About Me?
Yes. You have the right to request access to the personal information I hold about you (known as a "subject access request"). You can do so by contacting me via email at papiya_b@outlook.com. I will respond within one calendar month of receiving your request.
There is ordinarily no charge for a subject access request, though an administrative fee may apply for repetitive or manifestly unfounded requests.


Please note that I may, in limited circumstances, need to withhold certain information—for example, where disclosure would be likely to cause serious harm or where it would involve disclosing information about a third party.

 

What Are My Other Rights Regarding My Personal Information?
Under UK GDPR, you have the following rights:
Right of access — to obtain a copy of the personal information I hold about you.
Right to rectification — to ask me to correct inaccurate or incomplete data.
Right to erasure — to request that I delete your data in certain circumstances (though this may not apply where I have a legal or professional obligation to retain records).
Right to restrict processing — to ask me to limit how I use your data in certain circumstances.
Right to data portability — to receive your data in a structured, commonly used format in certain circumstances.
Right to object — to object to my processing of your data where I am relying on legitimate interests as the lawful basis.
Rights relating to automated decision-making — I do not use automated decision-making or profiling in my practice.

I may update this privacy policy from time to time to reflect changes in the law, my practice, or data handling procedures. The most current version will always be available on my website. Where changes are material, I will notify existing clients directly.
